Parent Engagement/Volunteer Requirements


Parent Engagement

GATORS Swim team has a reputation for having fun, supporting swimmers of all abilities, great sportsmanship and running an efficient enjoyable meet for all of our competitiors, spectators and coaches.

We are only able to make that happen due to the committment of our team parents

It is understood when you register your swimmer that you are required to engage in the team

With the exception of our coaches, every aspect of the GATORS Team relys on PARENT ENGAGEMENT/VOLUNTEERS

This includes all the board positions, team officials, social event coordintation, and every spot on deck during a meet

(Timers, Heating, Concessions, Scoring, and more)

By joining GATORS Swim Team, you understand that Volunteering is Mandatory


2024 Volunteer Requirements

SHIFT 1: Event 1- 44 

SHIFT 2: Event 44-90

 All Active Households are required to complete: 

1 Volunteer shift at 4 out off 5 Regular Season Meets* adjusted due to team size6/1, 6/8, 6/15, 6/22, and 6/29

 All Active Households are encouraged to sign up for 1 "float/reserve" shift during Regular season Meets

(Float/Reserve shifts only count as completed if you are asked to step into that shift during the meet)

 All Active Households must complete 1 Volunteer shift at either age group prelims or championship meet: 6/8, 6/9 or 6/13

Any Active Household with a Swimmer Competing in ALL STARS will be required to complete one volunteer shift at ALL STARS

 


2024 Volunteer Responsibilities

You are responsibile for signing up for your required volunteer shifts once sign up becomes LIVE prior to the start of the season

You will receive an email reminder 7 days and 2 days prior to your volunteer commitment

IF FOR ANY REASON you are unable to fufill your shift you are responsible to provide 48 hour notification to our GATORS Team parent volunteer coordinators so that they can utilize one of the Float/Reserve volunteers (exceptions for same day illness or emergency only)

IF YOU FAIL to notify volunteer coordinators (no show, no call, no notification) you will be charged a $20 fee

IF you do not complete your required volunteer shifts by the end of the season a $250 fee will be billed to your account


2024 Volunteer Positions at Meets

SIGN UP FORM WILL BE LINKED TO THE MEET EVENT ON THE TEAM WEBSITE

YOU WILL BE NOTIFIED WHEN SIGN UPS ARE LIVE PRIOR TO THE START OF THE SEASON

NO TRAINING- ONLY GOOD ATTITUDES REQUIRED

ADDITIONAL INFORMATION ABOUT VOLUNTEER POSTISIONS AVAILABLE IN THE PARENT HANDBOOK

Meet Set Up (Home Meets Only): Friday 7:30 PM 

Set the deck for the next days meet

Morning Meet Crew (Home Meets Only) Arrival Time TBD (typically 1 hour prior to warm up)

Finalize Meet Set Up, Parking Lot Assitance, Set up Home/Visitor areas

Concessions Set Up (Home Meets Only) Arrival Time TBD (typically 1 hour prior to warm up)

Set up Concessions for the Meet, Work Concessions through Warm up

One Set up Volunteer will need to be a "runner" and pick up breakfast burritos and coffee

Lane Timer (Home and Away Meets) 

Attend timers meeting prior to the start of the meet (both shifts must attend timers meeting)

Time each race in your assigned lane using a stop watch or dolphin timer

Record times for each race

Heating Area  (Home and Away Meets) 

Assist Clerk of Course (or Heating Coordinator) to get swimmers in the correct order for upcoming races

Assist swimmers from heating area to blocks 

Scoring Table  (Home and Away Meets) 

Assist Meet Manager (Head Scorer) at the scorers table as needed

Concessions  (Home Meets Only ) 

Prepare and sell concessions to hungry swimmers, and spectators

Run water to timers as needed, Run snacks to coaches as needed

Concessions Clean Up (Home Meets Only) EVENT 80-POST MEET

Break down concessions area, clean up, move items back into GATORS Shed 

Meet Clean Up (Home Meets Only): EVENT 80-POST MEET

We have to reset the pool deck (leave it better than we found it) so that the pool can open for the afternoon


2024 Alternative Volunteer Positions 

The following Volunteer Positions are open to indiviudals who can committ to the entire season but may not be able to committ to volunteer shifts at a meet.  IF interested in one of these season long committments, contact GATORS Parent Volunteer Coordinators

Post Meet Ribbons (all 5 dual meets)

Pick up ribbons, labels and swimmer boxes on Tuesday Morning from Coaches/Lifeguard Shed

Label each ribbon and file into swimmer boxes

Return swimmer boxes to Coaches/Lifeguard Shed by end of practice Thursday so that Swimmers can pickup ribbons Thursday PM at Pep Rally or Friday Morning at Practice 

GATORS SWIM TEAM Bulletin Board

Decorate GATORS Bulletin Board that is posted on the pool deck (Patio Area)

Update Board weekly with: Gators of the Week, ALL STARS qualifiers, New Team Records

GATORS Photographer/End of Season Slide Show

Take photos at practice, meets, team events

Collect photos from team members

Create end of season slide show

DONUT FRIDAY!

Be available from the end of 13+ Practice through the end of DGroup Practice  (6:15-10:15am)

Pick up Donuts (6:15am), Set up Donuts, Sell Donuts, Clean up Patio area 

Throughout the season GATORS Swim Team has multiple social events that require parent engagement/Volunteers as well including Season Kick Off Potluck, Thursday Team Night (Pep Raly), End of Season Banquet and more.

These social events can fufill some of your requirements if you are unable to volunteer during a meet.
